Terms of Service
Bookings, Deposits and Cancellations
Once your booking form has been received, we will confirm our availability and discuss the package you require. When you are ready to go ahead with the booking, we will require a £100 deposit made via bank transfer. This will secure your booking and you will receive a booking confirmation. The remaining balance must be paid one week before the date of the booking.
We understand that sometimes things can happen in life that are unprecedented and unfortunate, so in the event of a cancellation, 50% of the deposit will be refunded when the cancellation is made within two weeks’ notice from the event date. If the cancellation is made with less than two weeks’ notice, no deposit will be refunded.
Changing the Date
We will accept a one time only request to change the date once booked as long as we have been provided with at least two weeks’ notice. If two weeks’ notice hasn’t been provided the booking will be treated as a cancellation and therefore no deposit will be refunded. A new booking date will be treated as a brand-new booking.
Start Times and Delays
We always plan to be on time, ensuring our gaming van is set up and ready to rock and roll. We are unable to delay the booked start time. We advise our gamers to arrive 10-15 minutes before the booked start time and will provide you with that information once the booking is confirmed.
Our Rights to Cancel
Supreme Party Gaming Van Ltd reserves the right to cancel any booking taken at any stage up to the time of the event due to unforeseen circumstances outside of our control such as technical issues that can’t be solved or severe weather problems. If we can’t decide on an alternative future date between us then payments will be refunded in full.
Prices and Standards
The prices on our website include travel up to 20 miles each way from our base postcode of HP4 3TZ. The mileage will be taken from Google Maps for a guaranteed fastest possible route to the destination.
Age Appropriate Gaming Safety
We feel it’s really important to make sure kids on our gaming van play age appropriate games, so we will send you an online booking form requesting that you inform us of the age limit of the games to be played at the event you have booked. Supreme Party Gaming Van is not responsible for any games played by an attendee who may be younger than the age rating of the game.
Rules of Attendees
The age groups we cater for are 7-15 years old.

Consoles and Game Updates
We pride ourselves on having the latest technology in our gaming van. Our consoles are regularly checked for any software updates and game updates, but we don’t have control over when these updates are released worldwide by manufacturers so we can’t guarantee play- ability of all our games. We will always try our best to make sure all of the newest and latest games are available. In the event a game requires an update during a booked event no liability will be accepted for the minimal lack of gameplay for that specific game in question. This includes Roblox and Fortnite.
Please note due to the nature of VR gaming and the space required when playing on the VR this will need to be played outside the van.
When We Arrive at the Destination on Site
Our aim is to always arrive on time with the appropriate amount of time required to set up. In the event that we are delayed due to extreme weather or severe traffic conditions, we will honour the gaming time booked slot with no discount or compensation on the day but a 10% discount will be given for your next booking.
Parking
It’s the responsibility of the customer to ensure there is adequate parking at the location in question. The ground needs to be flat enough and there must be adequate access to the parking space at the location agreed. We require 9 metres in length to be able to park safely and operate correctly. It would be your responsibility to liaise with any neighbours that could potentially block our access. Usually, we allocate around 15 – 20 minutes prior to a booked start time to get safely parked and set up as any delays will have an impact on your booked gaming event. We reserve the right to stop and abandon any booked event upon arrival if we are unable to park safely or access the proposed space appropriately or without any assistance from you. If this event occurs we will not offer any refunds and the booking will be lost in full.
We accept no responsibility for any damage to driveways or any areas arranged to park during the event.
Accidents and Incidents
In any unfortunate circumstance that a child or adult has an accident or incident such as vomiting inside the gaming van we reserve the right to pause the event with the extraction of everyone inside to help clean the van. Any potential loss of gaming time will be reimbursed. In the unfortunate situation we are unable to clean to our satisfaction during the event we reserve the right to implement a one off charge of £60 to compensate for our time to make things right and good as this will have a domino effect on other parties booked that day.
The Places We Work From
We can operate from anywhere as long as we have access to power and the internet.
Power/Electric
It will be the customer’s responsibility to provide us with access to 2 standard plug sockets within 20 metres of our parked position, if we can’t be supplied with this then the event will have to be abandoned with no refunds given.
Supreme Party Gaming Van Ltd holds no responsibility in the event of any damage caused to the power supply for the event.
Behaviour on the Gaming Van
We reserve the right to remove anyone inside the gaming van if we feel their behaviour is aggressive or disrespectful to our team members or our equipment.
If damage to our equipment or the van is caused during the event and is deemed intentional improper behaviour, then the booking party will be held financially responsible for the damage. If this happens then the event will have to be abandoned with no refunds given. Intentional damage caused to any of our TV’s inside the gaming van will be charged to the booking party in the value of £450.
Supreme Party Gaming Van Ltd doesn’t accept or tolerate bad language, disrespectful, threatening or aggressive behaviour inside the van. We reserve the right to remove anyone from the gaming van or end the booked event at any time with no refunds at all.
Health and Safety for Our Customers
No food or drinks can be consumed within our gaming van.
All team members on our van are DBS certified and can be proved upon request.
We will always ensure the van is clean and safe for our booked events. Our measures comply with all health and safety requirements but anyone that enters or exits The Supreme Party Gaming Van does so at their own risk.
Supreme Party Gaming Van has full public liability insurance which can be shown upon request prior to the booked event date.
We hold no responsibility over any event member who may suffer from any form of photo-sensitive related incidents.
Our van doesn’t have any disability wheelchair access, nor does it have accessibility via crutches or walking sticks inside the gaming van due to minimal space. Our team members need to keep the gaming area clear at all times.
Technical issues
On the day of the booked event, if we experience unforeseen technical issues on site which result in less gaming time or fewer screens available, a discount will be provided after a valuation on a case-by-case scenario after the booked event has been completed.
Internet and Wi-Fi
We will require the use of your broadband/router connected via our ethernet cable. If you are unable to provide this, we can use our 4G/5G portable device but this will be subject to network coverage in your area and could impact the gaming experience.
Terms of Use
We reserve the right to amend or change any service details we provide, for example, offers, pricing, service maps and time frames without notice. Any booked events will not be affected.
All the gaming consoles inside the van and all games within are for private use only.
The Supreme Party Gaming Van Ltd does not charge any fees to any event/booking party or the members of any event to play on our consoles, with any use of the games consoles 100% free of charge.
The fee in question stipulated by Supreme Party Gaming Van Ltd is a hire fee for a set period of time with our specially customised Gaming Van and the high-tech equipment (not games consoles) providing a one time event environment for up to 10 people. Event participants can bring their own games if they choose to.
